Troop Leadership and Board Positions
AHG Troops are led by Godly adult volunteers who serve in a variety of capacities. These volunteers are chosen by the Partnering Charter Organization, according to their talents and interests. Each volunteer must be a member of American Heritage Girls and possess the moral, educational and emotional qualities that are necessary to afford positive leadership and guidance to youth, in a manner consistent with the values and ideals of the AHG program.
Each AHG Troop is provided leadership and direction by its Troop Board. The Troop Board must be formed prior to Charter Approval. It consists of a minimum of four registered, trained adults, serving as the Troop Ministry Board within the Troop Board: Troop Coordinator, Vice Coordinator, Troop Shepherd and Troop Treasurer. Troop Board Members must be registered members and work together to govern the Troop. The Charter Representative and Unit Leaders should be included in the decision making process. The Troop Board must develop a Troop Policy Manual that has all Troop policies and procedures in writing, prior to the first Troop meeting. A copy of these policies must be on file with the National Office.
The Troop Board is comprised of:
Troop Coordinator: A registered Adult Volunteer who oversees the general operation of the Troop. The person in this capacity should not hold any additional positions in the Troop. The Coordinator recruits and trains Troop Unit Leaders, when an area training team is unavailable. The Coordinator facilitates Leaders’ meetings throughout the program year and oversees that all Troop positions are filled and operating. She/He also nurtures the relationship with the Charter Organization. Other responsibilities include calling and presiding over all Troop Board meetings, supervising Troop meetings, monitoring Troop growth and retention levels and promoting AHG in their community. The role of the Coordinator is integral to the success of the AHG Troop.
Troop Vice-Coordinator: A registered Adult Volunteer who works along-side the Coordinator and serves as a Coordinator-in-training. The Vice Coordinator will perform the duties and have the powers of the Coordinator in the event of the Coordinator’s absence, death or disability. She/He may perform the duties of the Troop Registrar or appoint one (see below). The Vice Coordinator oversees all aspects of Troop registration for girl and adult members and maintains the Troop roster and Troop Advancement records (or may delegate these responsibilities: see below). She/He serves on the Troop Board helping to establish Troop policies and procedures. She/He will have any duties and powers that are assigned by the Coordinator and Troop Board.
Troop Shepherd: A registered Adult Volunteer who is responsible for the care and feeding of the Troop’s members in a spiritual sense. This volunteer opens meetings in prayer, knows the status of each member and offers prayer and comfort to those in need. They may also serve as the volunteer to oversee the earning of the religious awards by the girls.
Troop Treasurer: A registered Adult Volunteer who serves on the Troop Board and oversees the Troop’s finances. The Treasurer works with the Charter Organization to determine guidelines for the Troop account and what procedures are required to maintain it. A top priority is to create a Troop budget with the assistance of the Troop Board. Other duties include collecting Troop dues and registration fees, making appropriate deposits, maintaining Troop financial records, and tracking individual girl’s accounts and fundraising efforts.
This person works closely with the Vice Coordinator (she will be the coordinator for all units to assure cohesion and unity within the troop), as well as other Unit Leaders and Assistant Unit Leaders. A unit leader must have a love for children, a desire to teach, and an ability to manage behavior. The purpose of a unit leader is to train girls for a life-long love for the Lord. However, this duty rolls over to ministering to the parent of each girl as well. Unit Leaders must be committed to mentoring the girls and the parents. Therefore, it is imperative that Unit Leaders maintain weekly contact with parents by way of email. Parents will receive email communication—from the Unit Leader—after a troop meeting to let parents know what occurred during unit time, what to expect for the upcoming week, and any Troop updates. This leader will meet with a small group of unit leaders and Assistant Unit Leaders to plan out badge work for units. Unit Leaders must attend planning meetings to plan upcoming meetings, using the girls’ input and desires. Usually done quarterly. She will also be required to work with leaders in other units when badge work over laps or troop guidelines requires so, such as when units can benefit from the unique multi-level structure of the badge program (ie. Fulfill requirements and optionals together). Badge selection and lesson plans must be approved through the Troop Board for cohesion between levels, funding, and focus.
This person works closely with the assigned Unit Leader, as well as other Unit Leaders and Assistant Unit Leaders. An assistant unit leader must have a love for children, a desire to teach, and an ability to manage behavior. The purpose of an assistant unit leader is to assist the Unit Leader with the working or the patrol as well as manage the paperwork surrounding the handbooks for each girls. During unit meeting time, the Assistant Unit Leader will take responsibility for signing off in each girls’ book the skills developed or learned. The Vice Coordinator and her assistant (Badge/Advancement Manager) will visit units and answer questions pertaining to badge completion, orders, etc.
